One system, seven stages, no gaps between them.
Most businesses have pieces of this. A website here, a phone there, a spreadsheet somewhere. The value isn't in any one piece — it's in the handoffs between them.
Where every lead goes
Each stage hands off to the next. Break any one of them and the ones after it stop mattering.

Retain feeds straight back into Capture — a finished job becomes the review, the referral, and the repeat customer that starts the loop again.
What each one actually does
Capture
A lead is worthless if it lands somewhere nobody checks. Every channel you use feeds one system instead of five inboxes.
Respond
The business that replies first usually wins the job. This replies immediately, at 2pm on a Tuesday and at 11pm on a Sunday.
Qualify
By the time a lead reaches you, you already know what they need, where they are, and whether it's worth your drive.
Organize
Every lead becomes a record with a stage, a score, and the full conversation attached — visible to you and anyone on your team.
Follow up
Most jobs are lost here, not at the quote. Follow-up runs on a schedule whether or not anyone remembers to send it.
Convert
Booking, estimating, and payment happen inside the same system that captured the lead — no re-typing, no lost paperwork.
Retain
A finished job becomes a review, a referral, and a reason to come back — which feeds straight back into Capture.
What happens when a new lead contacts your business
A worked example, minute by minute: from form submission to a booked appointment with nobody dropping what they were doing.
- 10:32 AMCustomer submits the form on your website
- 10:32 AMAI texts them immediately
Hey Mike, thanks for reaching out. What type of HVAC service are you looking for?
- 10:33 AMAI qualifies the job
Got it — no cooling upstairs. Roughly how old is the unit, and what's the address?
- 10:33 AMLead lands in the CRM, scored, with the full conversation attached
- 10:34 AMYou get a notification with everything already answered
- 10:35 AMCustomer books the appointment themselves
- After the jobAutomatic follow-up, then a review request

One place to see your entire sales pipeline
Everything your team needs to know, without digging through texts, spreadsheets, voicemails and inboxes.

Two layers: the foundation, and the part that makes it yours
We don't rebuild solved problems, and we don't pretend a subscription is a system.
Proven infrastructure, configured around you
The CRM, the contact records, the pipelines, the SMS and email, the phone numbers, the calendars, the review requests. This is solved-problem software and we don't rebuild it — spending your money reinventing a CRM would be indefensible. We stand it up properly and configure it around how your business actually sells.
- CRM and contact records
- Pipelines and opportunities
- SMS, email and phone
- Calendars and booking
- Automations and follow-up
- Forms and review requests
The custom layer built on top
This is the part nobody can buy off a shelf, and it's the reason the system is worth more than the sum of its logins. The agents that understand your trade, the quoting logic that knows your rates, the integrations with whatever you already run, and a dashboard that shows your business rather than a vendor's default reports.
- AI agents trained on your services
- Quoting logic built from your rates
- Industry-specific qualification
- Custom integrations
- Your own client dashboard
- Workflows that only exist in your business
Your software doesn't have to change.
We build the AI layer around the tools your business already relies on — we're not here to make you throw away your CRM.
- Jobber
- Housecall Pro
- ServiceTitan
- HubSpot
- QuickBooks
- Google Calendar
- Google Business Profile
- Your phone system
Your existing software manages the business. The system we build makes it work harder.
To be clear about how this works: these aren't one-click integrations we're claiming. Every connection is scoped as part of your build — most platforms with an API connect directly, some take middleware or custom work, and a few aren't worth connecting at all. Confirming exactly how your stack would wire up is part of the audit, before you commit to anything.
Why not just buy the software yourself?
You absolutely can — the platforms underneath this are available to anyone, and plenty of owners have bought one. Most of them are still paying for it and barely using it, because a CRM out of the box is an empty filing cabinet. The value isn't in having the software; it's in the pipeline being shaped like your sales process, the agents knowing your services and your prices, and every piece handing off cleanly to the next. That part is the build, and it's the part that doesn't come in a subscription.
We'll name every platform in your build before you commit to anything, and every account is opened in your business's name. If we ever part ways, the system and the data stay with you.
Five steps, in this order
Consulting isn't a separate product we sell. It's the first step of building the thing.
- 101 — DiagnoseWe go through how leads reach you today and what happens to each one — the website, the phone, the inbox, the CRM if there is one, and everything your team does by hand.A written map of where leads are leaking and what each gap costs.
- 202 — DesignWe map where AI and automation produce the biggest return in your specific business, and just as importantly, where they don't. Not everything should be automated.A system design and a build order, biggest return first.
- 303 — BuildWe connect your website, phone, CRM, calendar, and sales process into one system, and build the agents and automations that run on top of it.A working system, built around your process rather than a template.
- 404 — LaunchWe test every path a real lead can take — including the awkward ones — then put it live and watch the first real leads move through it.The system running in production, with you trained on it.
- 505 — OptimizeWe track what happens at each stage, find where leads are still dropping, and keep improving the parts that move the number.Ongoing changes based on what your leads actually do.
Fair questions
Do I have to build the whole thing at once?
No. The audit puts the stages in order of what would return the most in your business, and we build in that order. Plenty of businesses start with capture and response, because that's where the bleeding usually is, and add the rest once it's paying for itself.
What if I already have a CRM?
Then we build on it rather than replacing it, assuming it can do what you need. Part of the audit is working out whether what you have is worth keeping — sometimes it is, sometimes it's the thing holding everything else back.
Do I own what you build?
Yes. The accounts are yours, the data is yours, and the system stays with your business. Bring that up on the call and we'll be specific about which platforms are involved and whose name is on them.
How long does a build take?
It depends entirely on how many stages you're building and what you already have running. You'll get a real timeline as part of the audit, before you commit to anything — not a number picked to sound good.
What does the monthly cover?
Management, AI usage, hosting, and ongoing optimization — someone watching what happens at each stage and improving the parts that aren't working. A system nobody tunes drifts.
Want to know where yours leaks?
The audit is free, and it's the only honest way to tell you what's worth building.
